We are presently identifying candidates for an Executive Assistant. The Executive Assistant is responsible for providing administrative and clerical services to ensure effective and efficient operations of the ATSG corporate office. ATSG is a cleared facility; thus, all eligible candidates must be U.S. Citizens which are able to obtain a government-issued security clearance.
 
 
Required—
  • Must be eligible for a US Security Clearance.
  • High School Diploma.
  • Excellent interpersonal skills.
  • Minimum of 1 year of experience of assisting director and executive level management.
  • Solid proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, etc).
  • Strong writing, editing, and proofreading experience in a business environment.
  • Must be flexible and able to function with good judgement in a fast-paced environment.
  • Able to handle confidential material in a professional manner.
  • Experienced in managing multiple concurrent tasks and meeting rigid deadlines.
 
Preferred—
  • Bi-Lingual – English (native) and Spanish (fluent).
  • Demonstrated ability to anticipate the needs of others.
 
Responsibilities—
  • Prepare drafts of correspondence, committee agendas, and other documents in response to verbal and/or written instructions, to a high degree of accuracy and presentation.
  • Establish and manage an up-to-date and accurate database of mailing addresses, telephone contacts (ATSG Phone List), and distribution lists, and other tools, to enable effective dissemination of information, in line with requirements.
  • Organize and maintain the electronic calendar, appointments, meetings, and functions (Microsoft Outlook).
  • Attend board and Executive committee meetings, draft and distribute meeting minutes, distribute other post-meeting documents, and correspondence as necessary, including follow-up action where required.
  • Responsible for coordinating projects that may involve working with all levels of internal management and staff.
  • Manage incoming office phone calls, including but not limited to: answering calls, taking and delivering messages, transferring incoming calls to appropriate recipient extension, transferring callers to recipient voicemails.
  • Greet and direct visitors upon arrival at ATSG.
  • Provide callers with information such as company’s address, directions to the company location, company website, and other related information.
  • Receive and distribute all incoming mail.
  • Monitor office supply inventory and place replenishment orders as needed.
  • Maintain snack and drink inventory; keep drink fridge and snacks stocked for office.
  • Provide clerical assistance as needed; this includes operating office equipment such as the office printer (Canon iR-ADV C5235/5240 UFR II), laminating, binding, filing, etc.
  • Prepare CEO’s monthly expense report.
  • Order lunch for meetings; as directed.
  • Arranges travel, accommodation, itineraries, and all correspondence related to arrangements, as needed.
  • Run dishwasher at EOB and put dishes away.
  • Prepare information and reports for executives on an ad hoc basis.
  • Provide back-up support to Business Development Director.
  • Assist with testing for DeepBD products, as directed.
